Reserve a Meeting Room

Library meeting rooms are available to the public during building open hours. All meeting must be concluded and the room vacated at least 15 minutes before closing time to allow for staff cleanup and library closing protocols. Prior to reserving a room, please check the meeting room calendar for availability and read through the general regulations and information regarding meeting rooms. You may reserve a room by filling out the request form below or stopping by the Library. If you have further questions, please call Newport Public Library at 541-265-2153.

*Cancellations must be made at least 72 hours in advance of your reservation date/time for a refund.
*McEntee Meeting Room capacity is 56 people. Conference Room capacity is 10 people.

GENERAL RULES AND INFORMATION

  • A signed policy contract is required for recurring or multiple-date reservations.
  • All applicants must be 18 years old or older.
  • Activities for minors age 17 and under must be supervised by a responsible adult.
  • The authorized representative must be present during the entire meeting.
  • Alcohol is prohibited at the Newport Public Library, including for private events.
  • Library staff may enter the meeting room at any time.
  • All groups are responsible for their own setup and cleanup.
  • All fees are payable at the time the application is submitted.
  • Library sponsored events will have priority.
  • Applications will be approved or disapproved by the Library Director or designee.
  • The meeting rooms shall not be used for any purpose that would prevent, discourage, or interfere with the use of the Library for purposes of research, reading, and study.
  • Groups and individuals who use the meeting rooms are the guests of the Library and are able to use the facilities at the discretion of the management of the Library.
  • The fact that a group or organization is granted permission to meet in the library in no way constitutes endorsement by the City of Newport, the Library, or the Library Board of Trustees of policies or beliefs of that group or organization.
  • Library facilities and meeting rooms users agree to pay for any and all damages to library property including, but not limited to, walls, floors, grounds, furniture and AV equipment while applicant is using property.
  • All meetings will be open to the public, unless admission is charged or the meeting is limited to the membership of a group.
  • Library staff may enter and remain in the meeting room at any time during a scheduled meeting.
  • No alcoholic beverages will be permitted in or around the Library.
  • Smoking is not permitted.
  • The Library will not be responsible for lost items.
  • Refunds will be granted with 72 hour advance notification of cancellation.
  • The Library has preemptive rights to use the meeting room with a minimum of ten days notice to a previously scheduled group.
  • Users of the McEntee Meeting Room will be asked to sign a Policy Statement with Indemnity Clause for each use of the room, at the Reference Desk.
